Vaimo’s Technology Services is looking for a Project Coordinator to join our team. As a Project Coordinator in Technology Services, you will have a central role in our pursuit to drive success in Technology Services, which includes Platform Engineering, Site Reliability Engineering, Internal IT, and Security. You will have broad responsibility that requires strong leadership skills, structure, creativity, and the ability to identify the most efficient solutions for our needs. You will be working with both internal and external projects.

You will be responsible for delivering projects from start to finish, managing both internal and external stakeholders. You will work closely with our teams, Vaimo leadership and development teams, and partners to deliver high-quality results for Vaimo.

Key Responsibilities

1. Delivery of cross-department projects: PE/ SRE/ IT/ Security / Client facing/ Market facing

  • Proactive management of tasks, projects, and backlog
  • Clarifying project goals and factors
  • Clarifying tasks
  • Assist with the preparation of requirements and user stories
  • Collaboration with delivery teams on related projects
  • Preparing reliable estimates and deadlines for delivery
  • Internal reporting: setting up and improving internal processes and project management methods
  • Resource planning
  • Project planning
  • Work allocation
  • Preparing internal and external communication

2. Delivery of projects of PE, SRE, Security, IT that affect the entire company or a large part of it

  • Proactive project management of internal tooling and processes rollout
  • Internal communication
  • Clarifying project goals and factors
  • Collaboration with delivery teams on related projects
  • Planning: defining the scope of work; preparing reliable estimates and deadlines for rollout
  • Internal reporting
  • Setting up and improving internal processes and project management methods
  • Communication with stakeholders

3. Overall responsibility for operations of support services the SRE team provides

  • Manage incoming tickets
  • Organize IT Support desk
  • Improve task management
  • Allocate tasks to team members
  • Design and improvement of support service — Vaimo service desk
  • Communication with delivery teams to clarify tasks
  • Collaboration with delivery teams on related projects
  • Preparing reliable estimates and deadlines for delivery
  • Internal reporting: setting up and improving internal processes; understanding the work; proposing solutions for eliminating incoming tickets; analysis of the tickets
  • Resource planning
  • Task planning
  • Work allocation
  • Escalation of issues to the Head of TS / PE/ Security or other relevant teams

4. Quarterly planning with the head of TS

  • Overall responsibility for project work of the SRE team

5. Assisting the Head of Technology Services with any work-related tasks

Skills & Requirements

  • 3+ years of experience managing Web or Software development projects
  • Organize IT Support desk
  • Hands-on experience in software development and/or quality assurance
  • Experience in agile methods such as Scrum, Kanban, and User stories
  • Extensive experience with JIRA
  • Excellent verbal and written communication skills and ability to interact with technical and non-­technical audiences including executives, managers, subject matter experts, customers
  • Ability to work under pressure, meet deadlines, and handle multiple projects simultaneously
  • Solution-oriented approach
  • Team player
  • Required to travel from time to time
  • Advanced English, both verbal and written is a must

Nice To Have

  • Experience working as a Product Owner in a Scrum process
  • Degree/Diploma in Information Technology/Informatics/Business
  • Experience working with remote/offshore teams
