• Coordinates the work of the cleaning staff and facility manager
• Plans and coordinates office space improvement works and activities
• Suggests plans and actions to improve the speed and quality of addressing the staff requests and improving the facilities conditions
• Reviews, prioritizes and responds to facility requests submitted through HelpDesk automated system.
• Procurement. Conducts vendor selection process and contracts negotiations, controls contracts fulfillment for such service providers like (no limited to): cleaning, catering, facilities maintenance of all kinds (utilities, furniture, construction works, ventilation and air condition, electricity), and so on.
• Plans and manages monthly budgets and vendors’ contracts and ensures their cost-effectiveness, monitors and reports on expenses and payments.
• Acceptance of completed work by contractors and vendors.
• Supervises cleaning, maintenance, and other personnel.
• Ensures day-to-day working condition of the following basic facilities, such as water supply, heating electricity, lights, doors, locks, gates, furniture, kitchen appliances, other non-computing equipment, and so on.
• Plans and implements regular processes to check working condition of the following facilities (conditioning, ventilation, water supply, electricity, fire safety, fire/security sensors).
• Inspects buildings/facilities structures to determine the need for repairs or renovations.
• Reviews utilities consumption and strive to minimize costs.
• Allocates and manages office space according to the needs.
• Advises on increasing energy efficiency and cost-effectiveness.
• Generation and presenting regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases.
• Coordinates internal office workplace relocations in cooperation with Delivery Departments representatives.
• Inventory management for furniture and other non-computing equipment.
• Takes active part in relocations to new offices (office moves, re/construction works including all utilities).
• Business trips to other locations.
