We’re looking for a full-time Administrative Assistant to join Team Snap! Working from our Kyiv, office, you’ll be responsible for working with vendors and documentation, administrative support for our teams, coordinating events and workshops. We’re looking for someone who thrives supporting multiple stakeholders in a fast-paced environment. In addition to being organized, analytical, and resourceful, you must possess strong business judgment and communication skills needed to interact with a variety of people and job functions. High enthusiasm, creativity, and resourcefulness are crucial. This role requires a high level of professional integrity and confidentiality.
What you’ll do:
— Assist teams with organizing and planning key meetings (e.g. recruitment events, conferences, team offsites; coordinating team all-Hands Meetings; Supporting New Employee Onboarding & Setup; Arranging Team Social Events);
— Work with vendors, legal and accounting teams on vendor onboarding and contracting process;
— Provide expense management support;
— Manage some office administration tasks, including international shipments into and out of the office, ordering SWAG etc.
— Support with meeting logistics: calendar coordination, venues and location setup, taking minutes
— Manage executive visits: managing itinerary, booking venues for meetings, meeting scheduling, etc.
— Take on all ad hoc tasks related to the office or general administrative requirements
— Takes some responsibility for key meeting preparation and logistics.
— Own various administration tasks and develops efficient processes for repetitive tasks
— 2+ years of experience providing administrative support at the executive level (i.e. executive assistant role);
— Fluent in both written and verbal English;
— Highly organized and detail-oriented with a proactive work-style
— A high level of (professional) integrity and confidentiality
— Ability to quickly learn new technologies, programs, and applications
— Strong familiarity with Google enterprise products (Gmail, Calendar, Docs, etc.) and a passion for implementing technology to increase efficiency;
— Experience planning events and workshops;
— Experience working with legal documents is a plus;
— Strong scheduling and coordination skills, and comfortable with last-minute changes;
— Someone who thrives in a fast-paced, quickly changing startup environment with an optimistic approach to work and life
— Someone who’s proactive and able to take initiative and work efficiently with little direction
— Excellent verbal and written communication skills
— Experience working in a tech/startup environment
