Functional Responsibilities:
- Development of Travel Policies: Create, implement, and update travel policies aligned with company objectives and compliance regulations.
- Implementation of a Unified Approach to Business Trips: Analyze current processes and introduce improvements for business trip planning and execution.
- Travel Planning and Coordination: Organize and manage employee business trips within Ukraine and internationally, ensuring smooth logistics.
- Cost Optimization: Optimize travel costs by selecting efficient routes and transport options while adhering to budget constraints.
- Expense Tracking and Reporting: Monitor and manage travel expenses, generate reports for management, and suggest cost control improvements.
- Enhancing Travel Quality: Improve the quality of travel arrangements while ensuring they meet the company’s budget and employee satisfaction.
- Vendor Management: Establish and maintain relationships with travel service providers to negotiate favorable rates and service agreements.
- Collaboration with Outsourcing Partners: Serve as the main point of contact with outsourcing partners, resolving travel-related issues.
- Travel Risk Management: Ensure employee safety and security during travel by staying informed on travel advisories and providing emergency support.
- Visa Support and Country Requirements Coordination: Provide visa assistance and coordinate legal/travel requirements for international trips.
- Compliance and Documentation: Ensure all travel-related documentation, including visas and insurance, comply with internal and external policies.
- Team Management: Lead and coordinate a team involved in travel management tasks, ensuring effective performance and professional development.
We expect from you:
- Strong negotiation and communication skills
- Excellent organizational and time management abilities
- Ability to manage multiple tasks simultaneously
- Problem-solving skills, including handling travel-related emergencies
- Customer-service mindset focused on improving the employee travel experience
- Proven ability to manage and lead a travel management team
- Proven experience as a Travel Manager or in a similar role
- Proficiency in travel management software and booking platforms
- Knowledge of travel regulations, including visa, health, and safety requirements
- Understanding of international visa processes and country-specific travel requirements
- Strong understanding of budget management, cost control, and travel optimization techniques
- English proficiency: at least B2 level
