We are looking for a proactive and detail-oriented Operational Coordination Specialist to join our client’s (Defence/MilTech) team. In this role, you will support the successful execution of strategic and operational initiatives, ensure smooth cross-team collaboration, and help drive day-to-day operational excellence.
Key Responsibilities
- Support implementation and standardization of departmental processes across locations.
- Organize and coordinate onboarding of new team members, ensuring alignment with internal workflows and execution standards.
- Ensure clarity on ownership: who is responsible for what, escalation paths, and decision-making frameworks across teams and geographies.
- Act as an operational coordination point between the Delivery Manager and cross-functional stakeholders.
- Support preparation and coordination of external events, presentations, and field activities, including communication with partner institutions, organizers, and hosting entities.
- Support resolution of logistical tasks related to international teams, including coordination of equipment shipments, documentation, and operational readiness.
- Assist in export-related processes where applicable (including coordination of documentation, dual-use goods considerations, and cross-border shipments).
- Track operational milestones, documentation, compliance requirements, and execution status.
- Identify bottlenecks, misalignment between teams, and operational gaps; initiate corrective actions.
- Drive execution to completion with clear ownership and measurable outcomes.
Required Skills & Experience
- Upper-Intermediate English or higher; confident communication with international teams and partners.
- 3+ years of experience in operations coordination, project coordination, or structured cross-functional roles.
- Strong organizational skills and the ability to manage multiple parallel workflows.
- Experience coordinating cross-department collaboration and clarifying areas of responsibility.
- Understanding of logistical processes and cross-border operations.
- High level of ownership and accountability for execution.
- Ability to operate in dynamic, high-pressure environments with limited ambiguity tolerance.
- Strong communication and stakeholder management skills.
- Manage expectations of the stakeholders.
Nice to have:
- Experience working with distributed international teams.
- Experience supporting department scaling or organizational structuring.
- Understanding of export processes, dual-use goods regulations, or hardware shipments.
- Background in project management, defense tech, hardware, or technically complex environments.
- Experience working closely with delivery or integration teams.
