The Role:

We are seeking to appoint an Office Manager to help support our Lviv studio.

This role will be responsible for delivering a great workplace experience reflecting our existing and industry renowned brand and culture. This person will be responsible for curating and managing our physical workplace offering a sense of community to the Lviv studio team. This role will also include providing seamless support for all ongoing facilities projects such as office moves, maintenance and ensuring compliance and safety in the recently evolved world. This person will take full responsibility for the day to day studio operations of the workplace and provide the highest level of support in order to maintain continuous, quality service for employees and visitors.

The ideal candidate for this role would be well organised, highly creative and people-focused. Someone passionate about creating a sense of community in the physical space of the studio and beyond.


RESPONSIBILITIES

  • Employee Community Management and engagement
  • Find creative solutions to communicate with all employees in the studio, working closely with the Marketing and PR Team
  • Regularly engage with the Lviv department leads, assisting with their workspace requirements
  • Support and guide our employee community
  • Demonstrate how to use the studio facilities to help them maximise their productivity in the workplace
  • Front of House Experience
  • Support and monitor booking in employees, meeting rooms and guests
  • Manage access control and security
  • Provide a welcoming arrival experience for all employees and visitors while maintaining the necessary level of building security
  • Onsite Facilities management
  • Manage the relationship between the business and freeholder of the property
  • Ensure all relevant maintenance (such as air conditioning, plumbing, electrical work etc), cleaning, security, reception, mail distribution operate to the highest standard
  • Ensure that housekeeping is maintained to a high standard and the look and feel of the studio is consistent with the brand identity
  • Work closely with the P&C Business Partner to ensure that the external Health & Safety supplier is managed appropriately and in line with legal guidance
  • Organisation and promotion of internal events virtually and in the physical space
  • Creatively organise company social events and employee engagement strategies with the wider Studio Experience Team in other global locations

  • Experience with international couriers, taxi bookings and local mail knowledge

  • Management of future employee relocation including accommodation & wider support
  • Oversee and execute remote working support
  • Assist with in-office and remote DSE (Display Screen Equipment) setups, as per the Health & Safety legislation, and organise desk assessments if necessary
  • Contract and supplier management
  • Own, manage & review officer suppliers’ performance and report any issues to the Studio Experience Lead
  • Manage budget set for Lviv Office Management
  • Corporate Social Responsibility
  • Assist with developing sustainable ways of working across the studio

REQUIREMENTS

Skills and Requirements:

  • Excellent communication skills in both Ukrainian & English
  • IT skills (G drive)
  • Knowledge of Health & Safety
  • Food and Beverage Management (ordering adequate stock, cost control and maintaining relationships with suppliers)
  • Financial and data literacy
  • Prior experience of managing business travel
  • Creative skills such as photography, design, and copywriting would be an advantage
