We are currently looking for a organized and proactive Office Manager to join our team and support the seamless day-to-day operations of our office.
Requirements:
— Minimum 1 year of experience as an Office Manager or in a similar administrative role (preferably in the IT or tech industry)
— Fluency in Russian or Ukrainian and English
— Greek or English proficiency at B1 level or higher (for communication with international teams and vendors)
— Confident use of Google Workspace (Docs, Sheets, Calendar), Slack, Jira, and other task management systems
— Ability to quickly adapt, multitask, and manage priorities effectively— Friendly, customer-oriented, and proactive attitude
— Clear, professional written and verbal communication
— Ability to collaborate across departments: HR, IT, People Team, Legal, Finance— Experience managing office operations: ordering supplies, tracking inventory, coordinating services
— Communication with business center staff and third-party providers (cleaning, courier, maintenance, etc.)
— Ability to monitor and promptly address office equipment and technical issues
Responsibilities:
— Coordinating office activities and operations to secure efficiency and compliance to company policies;
— Supervise cleaning staff;
— Supervise gardeners;
— Making office supplies arrangements;
— Managing phone calls and correspondence (e-mail, letters, packages etc.);
— Supporting budgeting procedures;
— Supervising the filling of the office food area (filling snacks, coffee, etc).
— Creating and updating records and databases with personnel, financial and other data;
— Tracking stocks of office supplies and placing orders when necessary;
— Submitting timely reports and preparing presentations/proposals as assigned;
— Assisting colleagues whenever necessary;
— Meeting and escorting office guests;
— Ad-hoc project’s tasks according to business needs;
— Supporting activities and decorations of office;
— Fast-reacting for all problems at the office;
— Booked meetings via google calendar;
— Assist in the onboarding process for new hires;
— Booking of transportation;
— Weekly meeting with Admin manager
