We are seeking a proactive and skilled Project Manager who will represent the priorities and expectations of our clients, ensuring that every project runs smoothly from start to finish. As our PM, you will be the key bridge between our design and development teams and our clients, ensuring that all deliverables meet expectations and that communication flows seamlessly.
What you’ll be doing?
- Kick-off Stage
- Assist with project on-boarding (client enrolment & team on-boarding);
- Understand client priorities and determine the next steps;
- Manage materials from both sides;
- Send follow-ups that includes required actions from both sides and team’s next steps;
- Set up internal & client recurring meetings;
- Workflow setup: task management, communication channels, and time tracking system.
- Discovery Stage
- Decompose project scope into actionable tasks;
- Build and manage the project roadmap for the production team, relaying on priorities and deadlines;
- Regulate the estimation that you got from pre-sale
- Production Stage
- Determine project management toolkit & sync ups frequency;
- Task management (tasks decomposition) for each project in Notion, Jira, or similar software (setup, update). Tasks and bugs prioritization for development;
- Facilitate meetings: dailies or other internal sync ups, client demos, discovery calls. Prepare demo agenda and gather materials;
- Take detailed notes during meetings and workshops;
- Send demo follow-ups to the client including the report of completed work, required actions from both sides and our next steps;
- Filling internal reporting (workload);
- Quality control of the deliverables (cover all client’s expectations);
- Assign new people in case of vacations, delays.
- Team Leading
- Define clear goals for the team;
- Keep team members informed about project updates, deadlines, and any changes;
- Assign tasks based on each team member’s strengths and expertise;
- Regularly check in with team members to assess progress and address any issues;
- Encourage team members to stay engaged;
- Foster a collaborative environment where team members feel comfortable voicing concerns.
- Customer Success & Accounting
- Control budget, pre approve invoices;
- Manage upsells (+get bonuses for it);
- Create a monthly summary of completed work with the invoice;
- Collate Toggl report with estimate;
- Solve misunderstandings and other conflict situations that might occur during the working process with the client;
- Engage with clients regularly via video calls, including small talk to build rapport;
- Ensure client needs and requirements are clear and integrated into the project.
What is needed?
- At least Upper-Intermediate English. Strong command of English, both written and spoken, to effectively communicate with international clients;
- Experience in a similar role for 3+ years;
- Experience working closely with designers and developers in an agency environment. You understand the dynamics of creative and technical teams and can bridge the gap between them to ensure smooth project execution;
- Proficiency with project management tools like Jira, Trello, Notion, or similar platforms. You excel at setting up, maintaining, and optimizing task boards, ensuring that all tasks are tracked, prioritized, and up-to-date;
- Exceptional customer-facing skills. Ability to build strong relationships with clients, understand their needs, and represent their priorities throughout the project lifecycle;
- Ability to manage and prioritize tasks efficiently;
- Be flexible and adaptable to changes in the project or team dynamics;
- Expertise in people management and leadership;
- Strong organizational skills;
- Solid resource planning and problem-solving skills;
- Readiness to demonstrate a proactive attitude;
- Excellent verbal and written communication skills.
