Importance of the role

We are looking for the right person who is passionate about people and processes to join our UA People Operations Team. As part of our team, you will manage a broad range of people operations work from office facilities, vendors, and events planning to new hire onboarding and culture engagement activities. This role offers opportunities to drive continuous improvement of our processes and cooperation with internal and external stakeholders. This is a high visibility role that is the chance to work cross-functionally across all teams, levels, and office locations (UA and USA).

Day-to-day duties

  • Operations: Work closely with the People Operations team and leadership to improve existing people processes and programs (onboarding, offboarding, PO communications, PO tools like HRIS, performance management system, knowledge storage system, help prepare a presentation and facilitate monthly all-hands meetings for All Company)
  • Office Management: keep the reception area, kitchen, and conference rooms orderly and properly stocked; track office supplies and equipment inventory; manage third-party vendors, help manage and implement office policies, standards, and procedures, manage office deliveries
  • Event Planning: play a key role in (and in many cases own) creatively planning and coordinating all company events, socials, happy hours, gifts & swag for the team
  • Budget: own budget tracking and expense reporting for all office-related spends
  • Culture: ensure Matic is a welcoming and inclusive place to work by creating a dynamic, fun, and productive environment, supporting engagement initiatives like #matic-clubs, donut, culture diversity initiatives, communications around engagement activities
  • Human Resources Coordination: support Talent Acquisition teams with pre-onboarding communications

Must-have skills

  • You have 2+ years of experience in an Office Manager / HR Coordinator position in a fast-paced, startup type atmosphere (or in a similar professional coordination role)
  • You have an Upper-Intermediate level in English
  • You have experience with onboarding/offboarding process coordination
  • You can manage 10+ vendors at a time
  • You have hosted culture engagement activities for large teams remotely
  • You highly self-driven person who does not need to be micromanaged
  • You are a person with strong attention to detail
  • You love to organize everything and see this world through google spreadsheets
  • You communicate clearly and want to work with people across many different disciplines
  • You can easily adapt to changes, pivot in a fast-paced environment, and manage a busy workload with a strong sense of time management & prioritization
  • You work equally well on your own as you do iterate and ideate in a team
  • You can give feedback freely and accept it graciously
  • You thrive on a feeling of ownership of the projects you do
