Master of Code Global is looking for an Executive Assistant to the CEO who will play a key role in ensuring our CEO’s time and energy are focused on what matters most. From managing a busy calendar and coordinating international travel to preparing communications and supporting C-level leaders, you’ll be at the heart of the company’s executive operations.
The Executive Assistant to the CEO is a trusted partner who ensures the CEO’s time, priorities, and focus align with the company’s strategic agenda. Beyond calendar and travel management, this role acts as a central coordination point for executive operations, communication, and special initiatives across the leadership team.
Required background and skills
- 4+ years of experience as an assistant, or in a similar administrative role
- Experience working in IT or a multinational environment will be a strong advantage
- Advanced proficiency in English, Portuguese and Ukrainian.
- Experience in managing calendars, travel arrangements, and meeting logistics
- Advanced use of productivity tools: Google Workspace, Zoom, etc.
- Experience creating professional correspondence, presentations, and documents
- Strong organizational, problem-solving, and multitasking skills, with attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information
- Proactive, reliable, responsible, and flexible
- Analytical mindset: enough to prepare simple reports/track data for CEO’s decisions.
- Comfortable managing last-minute changes or urgent requests, and able to adapt priorities when needed
Responsibilities
- Manage the CEO’s calendar: schedule meetings, send reminders, and handle follow-ups
- Organize and coordinate business and personal travel arrangements, including flights, accommodations, and other related details
- Manage the company and CEO’s travel plans, including flights, accommodations, visas, and other required travel documentation; ensure all information related to business trips is accurately prepared and easily accessible
- Assist with personal tasks for the CEO (documentation, calls)
- Take meeting notes, prepare summaries, and ensure follow-up actions are tracked and completed
- Draft and edit professional correspondence, including emails and business documents
- Briefing Preparation: research, summarize, and prepare briefing notes for CEO’s meetings.
- Collaborate with Internal Communications Manager to draft short updates, announcements, or slides for CEO
- Support the CEO in day-to-day tasks to ensure effective time management and prioritization
- Project Coordination: track progress on strategic initiatives and follow-ups involving the CEO
- Provide support to other C-level executives when needed (e.g., arranging schedules, handling logistics)
- Act as a contact point between CEO and key internal/external stakeholders
- Coordinate activities with other company entities, including matters related to finance, logistics, compliance, and banking
- Perform other administrative tasks and ad-hoc assignments as required
- Confidential Personal Support: cover sensitive business/personal matters with discretion
Location: Portugal remote
Flexibility to work across time zones (North America/Europe) when required
