Requirements:
- A strong Intermediate level of English written&spoken is a must;
- Friendly and cheerful disposition, positive life attitude;
- Client-oriented mindset and responsible attitude to work;
- Excellent communication and interpersonal skills;
- Knowledge of international travel market, regulations, customs, and currencies;
- Good understanding of expense reporting and processing;
- Being acquainted with visa process obtaining;
- Strong problem-solving approach and stress resistance;
- Proficiency in MS Office Outlook, Excel, PowerPoint, etc.;
- Knowledge of the visa processing process is a plus;
- Experience in working with CRM, JIRA, and chatbots is a plus.
Responsibilities:
- Own and Maintain the Travel Policy. Act as the primary owner of the company’s Travel Policy, ensuring it aligns with corporate standards and adapting it as necessary to reflect changes in external environments and industry regulations.
- Comprehensive Travel Arrangements. Coordinate and execute the full scope of travel arrangements for both internal and external clients, including flights, accommodations, ground transportation, and other logistics.
- Travel Expense Support and Reimbursements consultancy. Guide travelers in creating and submitting accurate expense reports, assist with reimbursement processes, and verify compliance with company expense guidelines.
- Travel Arrangements Oversight. Oversee all aspects of travel arrangements (air travel, accommodations, local transportation, etc.), ensuring efficiency and adherence to budgetary requirements.
- Process and Compliance Reporting. Prepare and deliver established reports on the progress and outcomes of business trip activities, maintaining documentation to ensure compliance with corporate travel procedures.
- Expense Report Verification. Support business trip travelers with expense reports, conducting thorough checks for accuracy and compliance with company policies.
- Visa and Documentation Assistance. Provide support for visa applications and travel documentation, staying current with any changes to passport, visa, invitation, and registration requirements.
- Crisis Assistance for Travelers. Act as a point of contact for travelers facing complex or urgent travel issues, providing timely assistance to resolve any challenges.
- Vendor and Travel Agency Relations. Build and maintain relationships with travel agencies and vendors, negotiating terms and staying informed on available resources and services.
