What You’ll Be Driving:
— Maintaining books (KPiR/ryczałt), performing month-end close, reconciling accounts, and handling year-end processes for multiple sole proprietors;
— Registering Polish JDG entities (including for Ukrainian citizens — UKR/residence card holders), obtaining necessary IDs and registrations, and guiding clients through formalities;
— Handling day-to-day communication with Urząd Skarbowy (Tax Office), GUS (Statistics Office), and other institutions; tracking correspondence and deadlines;
— Preparing and submitting well-argued requests for Individual Tax Interpretations; managing timelines and responses;
— Supporting and representing clients during checks/audits; preparing documentation packages and implementing corrective actions;
— Verifying business activity codes, selecting or confirming optimal ryczałt rates, documenting rationale, and monitoring regulatory changes affecting rates;
— Registering for VAT/VAT-UE, assessing registration necessity, analysing thresholds, and maintaining ongoing VAT compliance;
— Reviewing eligibility and applying for ZUS reliefs; managing scheme transitions and ensuring accurate contributions;
— Preparing, signing, and submitting monthly ZUS declarations; filing annual PIT-28/PIT-36 returns and other required reports;
— Reviewing prepared tax calculations for each JDG, confirming payable amounts and dates, and ensuring timely settlements
— Driving cross-functional teamwork, sharing knowledge, and maintaining workflow discipline across accounting, payroll, and operations.
What Makes You a GR8 Fit:
— 7+ years’ experience in full-cycle bookkeeping for Polish sole proprietorships (JDG/ФОП);
— University degree in Accounting;
— Proven track record registering JDG (incl. for Ukrainian citizens with UKR status / residence cards);
— Solid experience of Polish tax & social security: PIT, VAT (incl. JPK_V7, VAT-UE), ryczałt rules, ZUS (contributions, reliefs, transitions);
— Experience in providing accounting service to JDG in IT sector;
— Accounting software: experience with leading Polish systems;
— Excel/Google Sheets: professional skills;
— Communication skills: clear guidance to JDG owners; ability to explain complex tax topics simply;
— Detail orientation & ownership: accuracy under deadlines; proactive risk/threshold monitoring (VAT, ZUS, revenue limits);
— Problem-solving & judgment: selecting/confirming ryczałt rates; escalation when formal tax advice is required;
— Team leadership & collaboration: cross-functional coordination and vendor/subcontractor management;
— Languages: Fluent Ukrainian/Russian, at least intermediate Polish and English.
