GlobalLogic Ukraine is inviting a Head of the Office Administration Department to join its Lviv office.
We’re looking for the Head of the Office Administration Department responsible for directing and overseeing various administrative functions, including clerical services, office space, equipment and supplies, vendor management, and other support services. Manages functions through subordinate managers and supervisors, as well as tracks and ensures compliance with capital and operating budgets
General
1.1. Reports directly to Head of Operations — Country.
1.2. Responsible for ES team management
1.3 Obligated to follow the rules of behavior in the office.
1.4 ES Head is responsible for office daily functioning, repair and construction works, budgeting and forecasting.

Possible trainings: internal soft-skill trainings (guest relations, public speaking, 1×1, feedback provision, etc.); external soft-skill trainings (finance and analyses).
Primary responsibilities:
1. Team management
2. Tracking of major team-tasks
3. Cooperation with the landlord, including regular meetings, negotiation of contract terms with assistance of Real Estate agency
4. Cooperation with other GL functions requiring ES support or working with ES on the same tasks (e.g.: Finance, Legal)
5. Repair, construction and maintenance of office premises
6. Cooperation with Vendors, including regular meetings with most important Vendors and taking active part in GL Tenders
7. Cooperation with location Delivery office, including taking part in Delivery meetings dedicated to office support, regular meetings with Delivery Head, taking part in newcomers’ boot-camp, etc.
8. Budgeting and forecasting of expenses
9. Space utilization tracking
10. Developing the existing office in all possible ways
Specialized responsibilities:
1. Taking part in L&D activities
2. Taking part in HR activities
3. Regular update of policies and procedures of the department, taking into account results of previous audits or other assessments
4. Taking part in department audits
5. Regular sync-ups with direct manager
6. Regular 1×1 with team-lead(s)
7. Regular sync-ups with ES Heads from other locations
8. Regular (at least 1 per year) feedback gathering from company employees with the help of HR
9. Passing internal and professional external trainings to upgrade the level of knowledge
10. Taking part in PM/SPM meetings
11. Initiating and holding regular (at least 1 per year) meetings with delivery and internal teams on site, in their areas, gathering feedback.
