We are looking for an Office Manager to join our team.

The Office Manager will oversee all office operations and will strive towards creating an organized, efficient, and comfortable work environment for all employees. Your skills & qualifications:

— Excellent organizational skills and high level of professionalism
— Good interpersonal, oral, and written communication skills in both English and Ukrainian/Russian, with the ability to speak with remote offices comfortably
— Strong knowledge of Google Suite (Google Doc, Google Sheet, Google Form) and other commonly-used office packages
— Flexible and adaptable to all types of situations
— Good judgment skills and ability to think quickly
— Ability to prioritize tasks and possible to take a balanced decision quickly
— Attention to detail

Your hours of work:

Your core hours of work are 10:00 to 19:00 (included 1 hour for lunch) Monday to Friday.

You will have the option to adjust this period if needed (with the agreement of the manager).

You may also be required to work before or after hours and on weekends to oversee office repairs or other vendors; when this occurs your hours of work for the week will be adjusted.


Your key accountabilities and responsibilities will include (but not limited to):

— Maintain a clean and professional office space at all times, including meeting rooms and kitchen
— Create and maintain new processes related to office management and follow-up with employees and teams to ensure processes and procedures are understood and followed
— Provide guidance and direction to employees questions regarding office management
— Coordinate with external stakeholders for building and office maintenances
— Maintain office supplies inventory, including food and kitchen supplies; check stock to determine inventory levels and purchase supplies as needed; verify receipt of supplies
— Process all expenses, completing expense tracking sheets, and attaching required receipts, approvals, and other documentation, and submit to outsourcing company for final processing in a timely manner
— Provide support to employees with travel accommodations for various business trips, including confirming itineraries and purchasing tickets, hotels, car rental, and etc.; liaise with HR and Finance as required
— Manage office access system (pass card system or biometric reader); ensure general office security practices are in place and followed, liaising with the Head of Development
— Greet visitors; manage all office deliveries and oversee the loading and unloading of deliveries
— Maintain confidentiality and ensure the protection and confidentiality of all business operations
— Liaise with Vancouver office for general office maintenance and purchase approvals
— Lead and coordinate any office layout changes or renovations, acting as project coordinator and main point of contact; work closely with the Head of Development
— Support HR with organization of events
— Maintain an understanding of GeoGuard’s technologies, processes, and teams
— Understand the company’s goals and purpose to ensure activities continually contribute to GeoGuard’s performance
