Overview/Role Description:
Who We Are Looking For:
We are looking for a systematic and tech-savvy Operations & Digitalization Manager who will become the “architect” of our internal efficiency. The Association is growing rapidly, and we need a person who can turn chaotic workflows into structured processes and lead our digital transformation.
You will not just be an administrator; you will be a Product Owner of our internal ecosystem. Your main goal is to build the operational backbone of the Association, starting from mapping processes from scratch to fully automating them via the implementation of the Creatio ERP system.
You are the right fit if you love order, speak the language of BPMN, and have experience implementing CRM/ERP systems (preferably Creatio).
Responsibilities:
- Process Architecture (SOPs): Audit, design, and document internal business processes from scratch (HR, Finance, Membership Management, Document Flow, etc.). Create clear regulations, instructions, and knowledge bases.
- ERP Implementation (Creatio): Act as the Project Manager/Product Owner for the implementation of Creatio — our first CRM/ERP system. You will migrate operations from Google Drive/Excel to a centralized system, managing the relationship with vendors, writing technical requirements (ToR), and overseeing user acceptance testing (UAT).
- AI Adoption Strategy: Identify and implement practical AI applications for all routine processes. Propose and execute AI-driven solutions to automate tasks, analyze data, and optimize workflows (e.g., using LLMs for drafting, data extraction, or automated summaries).
- Digitalization & Tools: Build the digital infrastructure from the ground up. Currently, we operate primarily on Google Drive, mandatory financial software, and digital signature tools. Your task is to integrate these with Creatio and introduce new specialized tools, including Generative AI Agents (Gemini + Google Drive) for workspace-specific LLM context, to create a seamless ecosystem.
- Continuous Improvement: Regularly review and optimize operational workflows to remove bottlenecks. Ensure that “written rules” are actually followed by the team.
- Data Management: Establish data governance standards. Ensure the accuracy and security of our member database and operational data.
- Team Onboarding & Support: Train the team on new processes and software. Create guides and conduct workshops to ensure high adoption rates of the ERP system. Provide hands-on technical support: assist colleagues with setting up accounts, troubleshooting software bugs, and configuring tools (Google Workspace, Zoom, etc.). Technical support for key online meetings (Board meetings, General Assemblies): ensure smooth connectivity, recording, and troubleshooting during live calls.
Requirements:
- 5+ years of experience in Operations Management, Business Analysis, Project Management, or a similar role in the Tech sector.
- Proven experience in implementing CRM/ERP systems is a must. Experience with Creatio (Terrasoft) will be a significant advantage.
- Strong understanding of Business Process Management (BPM). Deep knowledge of BPMN 2.0 notation (certification will be an advantage).
- Professional proficiency in process modeling tools (Visio, Miro, Canvas).
- Experience in creating documentation from zero: policies, SOPs, user manuals.
- Tech-savviness: Proficiency in modern collaboration tools (Google Workspace, Slack, Zoom, Task Managers).
- Hands-on experience with AI tools for work efficiency (ChatGPT, Gemini, etc.) to accelerate document creation and analysis. Experience with Google Agent Space and Google Colab will be a plus.
- Fluency in Ukrainian and Upper-Intermediate (B2) English.
- Structured thinking, attention to detail, and the ability to explain complex technical things in simple words.
