Position Overview

We are seeking a detail-oriented and experienced IT Procurement and Asset Management Specialist to join our IT team. This role will be responsible for managing procurement, financial planning, budgeting, contract administration, inventory control, and documentation management within the IT department. The ideal candidate will ensure efficient management of IT assets and documentation, including hardware, software, licenses, guidelines, and policies, to support the organization’s technology needs and optimize costs.

Key Responsibilities

  • Procurement and Vendor Management:
    • Handle the procurement process for IT equipment, software, and services, including sourcing, negotiation, and purchase orders.
    • Develop and maintain relationships with vendors, ensuring competitive pricing and service quality.
    • Evaluate vendor contracts and service agreements, ensuring terms align with company policies and goals.
  • Budgeting and Financial Planning:
    • Assist in preparing and managing the IT department’s budget, including forecasting expenses for hardware, software, and services.
    • Track and report on IT expenditures, ensuring compliance with financial guidelines and budgetary constraints.
    • Analyze spending trends to identify cost-saving opportunities.
    • Collaborate with the financial team to align IT spending with overall financial objectives and reporting requirements.
  • Contract Management:
    • Oversee the lifecycle of IT contracts, including renewals, amendments, and terminations.
    • Ensure timely reviews and renewals of maintenance and support contracts.
    • Collaborate with the legal team to ensure all contracts comply with regulatory requirements.
  • Asset and Inventory Management:
    • Maintain accurate records of all IT assets, including hardware, software, licenses, and warranties.
    • Implement processes for tracking and auditing IT inventory.
    • Coordinate the disposal or redeployment of obsolete equipment in compliance with company policies.
  • License and Compliance Control:
    • Monitor software licenses and ensure compliance with vendor agreements.
    • Keep track of license renewals and ensure licenses are properly allocated.
    • Monitor changes in license models and suggest optimal solutions for the business.
    • Collaborate with internal stakeholders to anticipate and plan for future licensing needs.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Information Technology, or a related field.
  • Minimum of 3 years of experience in IT procurement, asset management, or a similar role (would be a plus)
  • Strong understanding of procurement processes, contract negotiation, financial management, and documentation within IT.
  • Experience with documentation management practices, tools, and frameworks.
  • Proficiency in using MS Office and document management tools.
  • Excellent analytical, organizational, and communication skills.
  • Ability to work collaboratively across multiple teams and manage various documentation requirements.

Preferred Qualifications

  • Experience working with procurement, financial, and documentation systems (e.g., Confluence, SharePoint)
  • ITIL or relevant certification in procurement, asset management, or documentation management
