Role Overview
Our client is looking for an Office Secretary Supervisor to lead and coordinate the administrative team while ensuring smooth office operations across multiple locations. This role requires a highly organized, proactive, and service-oriented professional who can maintain high standards of efficiency and provide strong support to senior management.

Key Responsibilities

  • Provide high-level administrative support across multiple offices, including calendar management, meeting coordination, document flow, and follow-up on action items.

  • Standardize and continuously improve administrative and office processes, ensuring consistent service standards.

  • Oversee internal and external communications, including emails, phone calls, visitors, and official correspondence.

  • Coordinate office management activities: supplies procurement, vendor communication, and interaction with external service providers.

  • Ensure effective document management and filing systems, maintaining accuracy, confidentiality, and accessibility.

  • Lead, mentor, and support the administrative team: onboarding, training, workload distribution, and ongoing development.

  • Act as a key point of contact between senior management and the administrative team, proactively addressing operational matters and suggesting improvements.

  • Support senior leadership with complex administrative tasks and ad-hoc projects as required.

  • Maintain strict confidentiality when handling sensitive corporate information.

Requirements

  • Proven experience as a Senior Secretary, Office Manager, Team Supervisor, or in similar senior administrative roles.

  • Experience coordinating or leading a team is preferred, with a collaborative and coaching-oriented mindset.

  • Excellent organizational, time-management, and prioritization skills.

  • Strong written and verbal communication skills in English (Russian is a plus; additional languages are an advantage).

  • Proficiency in MS Office (Word, Excel, Outlook) and general office management tools.

  • High attention to detail, accuracy, and structured approach to processes.

  • Ability to multitask and operate effectively in a fast-paced, multi-office environment.

  • Proactive, professional, and service-oriented mindset.

  • Strong interpersonal skills and ability to build effective working relationships across teams.

Preferred: Diploma or degree in Business Administration or a related field.
