We’re looking for an Operations Lead to join one of our amazing teams. You will be responsible for interacting with the predominantly United States-based clients to deliver proposals, manage products, manage developers, and deliver exceptional services and deliverables to our clientele.

Our client is a creative agency building legendary brand experiences for D2C and B2B businesses, with a specific emphasis on e-commerce. They have attracted a group of world-class creatives and marketers and are proud to call themselves the fastest-growing agency in Los Angeles.

The Operations Lead position will serve as the key link from LA office to all WordPress, Shopify, project management, web development, and software initiatives in the overseas office. As an Operations Lead you will be the highest-ranking team member in the Odessa office, responsible for operating autonomously in building out the overseas team. The job will be predicated on building out a highly useful and responsive e-commerce team. You personally will be responsible for interacting with the predominantly United States-based clients to deliver proposals, manage products, manage developers on our team, and deliver exceptional services and deliverables to our clientele. Client success—and with that, dealing with client dissatisfaction or issues—is of paramount importance. Part of the job will include forming a close integrated process with the LA-based design and marketing team to ensure the fluidity of asset transfers, communication, and general quality control of the end product. Excellent communication skills, attention to detail, willingness to learn and grow within the organization, and organizational skills are paramount to the success of the team. Speaking fluent English and working on Eastern Standard Time (8 AM to 4PM New York Time) is mandatory.

Responsibilities:

— Cultivate subject matter expertise in e-commerce, Shopify, and WordPress.
— Build and manage a multidisciplinary team of developers, project managers, designers, and marketers.
— Maintain contact with a client after the initial sale, facilitate onboarding, and ensure continued success.
— Build and support strong, long-lasting customer relationships.
— Be responsive to the client’s requests and needs.
— Collect project specifications, clarify scope, and deliver quotes.
— Participate in communication (between the developers, our design team, and Los Angeles, and the client) during the production stage. Managing expectations and being transparent about pricing and timelines is of particular importance here. Promising and over-delivering is always better.
— Working with the LA-based team to ensure the proper handoff of designs, getting their feedback during the QA phase, and ensuring that the integrity of the design is being adhered to during product rollout.
— Evaluate projects with the client and maintain relationships.
— Estimate project duration with the Team Lead, developer, or design team.
— Prepare contracts and invoices, while maintaining responsibility for the project assets, details, documentation, etc.
— Ensure timely and successful delivery of the company’s solutions according to the customer’s needs and objectives.
— Checking in with the development team, managing and ensuring the consistency of the product timeline, and giving consistent updates to the client is of particular importance.
— Managing all website repositories, setting up development processes, and improving upon these processes over time.
— Rolling out product timelines, quality assurance phases, adhering to product timelines and requesting timely feedback from clients.
— Managing people: conduct performance reviews, gauge temperature checks, and use the best judgment to ensure the cohesiveness of the team.
— Suggest improvements of processes and efficiency.
— Encourage and support professional development in the group.
— Create an environment oriented on trust, open communication, and cohesive team effort.
— Report status and ensure the quality of delivery.

What we’re looking for:

— 5+ years Experience in Operations, Account Management, or Product Management, added benefit if previous experience in e-commerce or Shopify.
— Experience working with international companies in a service-oriented environment.
— Decent knowledge of the IT market and its tendencies.
— Advanced computer user.
— Well organized, proactive, and self-driven.
— Service-oriented and communicative!
— A fast learner.
— Able to work in a multi-tasking, fast-paced environment.
— Fluency level of English (Upper-Intermediate or higher).
— Ability to work on Eastern Standard Time (8 AM to 4PM New York Time).

Bonus:

— Understanding of Shopify, WordPress, or E-commerce preferred.
— Basic understanding of web design.
— Experience in creating project specifications.
