Required skills:

  • Minimum 2 years of experience in an administrative role.
  • Fluent in Ukrainian and at least Upper-Intermediate English.
  • Strong organizational and time management skills.

Scope of work:

  • Time management for managerial roles- Schedules meetings/ interviews- Assists with visitors and customers — Handles documentation and filing- Organizes material for staff meetings, including preparation of minutes, as necessary.
  • Support of paperwork -Supports the process of document signing and exchange (mailing and e-mailing) -Collects approvals for the documents according to pre-defined procedure and send them for signing.
  • Support of invoicing and collections -Maintains the schedule of payment according to existing contracts -Prepares acts, invoices and other supporting documents and coordinates signing with the customers.
  • Providing end to end support for Event management for units or cross units: — Arranges Offsite meetings, conventions, conferences, and seminars — Prepares spreadsheets and/or PowerPoint presentations- Assists with internal projects, when needed- Coordinates and executes employee welfare activities.
  • Organizing and handling hotel, and travel arrangements for business trips — Maintains a strong back office during the manager’s travels.
  • Logistics support for all employees: — Examples provides Help Desk assistance, arranges Holidays presents ordering and mailing, manages Outlook distribution lists, assists with Guest Visit, orders business cards.
